What Does Managed IT Cost for a Small Business?

A straight answer  ·  No sales theatrics

I've been in IT and cybersecurity for nearly 30 years. I started my first MSP in 2004 because I watched large providers overcharge small businesses and under-deliver — and it made me furious. As a small business owner myself, I knew there had to be a better way.

Twenty-two years later, I'm still getting the same question from business owners in Louisville, Jeffersonville, and across Southern Indiana: "What is this actually going to cost me?"

Most MSPs dodge that question. We're not going to. Here's a straight answer.

What Drives Cost Up?

Every MSP in the country prices based on the same core factors. Here's what increases your monthly cost:

  • Number of users — most MSPs price per seat, so more employees means a higher bill
  • Number and type of devices — servers, desktops, laptops, mobile devices, printers, and network equipment all factor in
  • Compliance requirements — if you're subject to HIPAA, CMMC, PCI-DSS, or similar regulations, the security controls required to stay compliant add cost
  • Age of your hardware — older equipment requires more support hours and breaks more often
  • Scope of security coverage — endpoint detection and response (EDR), multi-factor authentication (MFA), email security, and backup solutions all add to the base price, but they're not optional extras — they're table stakes in 2025
  • Number of locations — multiple offices or remote workers add complexity
  • After-hours support needs — if your business runs nights or weekends, 24/7 coverage costs more than business-hours-only support

At Blackbird IT Solutions, we require all clients to meet a security baseline that includes MFA, endpoint detection and response, and current hardware and software support agreements. That standard is non-negotiable — and it's why our clients don't end up in the news for a ransomware attack.

What Drives Cost Down?

You want honesty? Here it is.

The only real lever that drives down the cost of managed IT is accepting more risk. Can you operate without endpoint detection software? Technically, yes. Can you recover from a ransomware attack without proper backups? Maybe. Are you willing to bet your business on it?

Ransomware happens. Hardware fails. Employees click the wrong link. A breach that costs a Louisville small business $50,000–$200,000 to recover from would have cost a fraction of that to prevent.

The bottom line

Managed IT services are now as essential as business insurance. The question isn't whether you can afford an MSP. It's whether you can afford not to have one.

So What Does It Actually Cost?

Most managed IT providers in the Louisville and Southern Indiana market price somewhere in this range:

Market pricing ranges — Louisville & Southern Indiana
Basic managed services — monitoring, helpdesk, patching
$75–$100 / user / mo
Full managed IT with security stack — EDR, MFA, email security, backup
$100–$150 / user / mo
Compliance-focused plans — HIPAA, CMMC
$150–$200+ / user / mo

For a 10-person business in Louisville, that typically means $1,000–$1,500/month for a solid all-inclusive plan. That's the real number. Anyone quoting you $30–$50 per user is either leaving out critical services or planning to add them later.

Blackbird IT Solutions sits at the low end of the full-service range. Our pricing is built on experience, efficiency, and automation — not on cutting corners or accepting risk on your behalf. We're not the cheapest option out there. We're the best value.

What to Watch Out for With Cheap MSPs

If an MSP quotes you a suspiciously low monthly fee, ask them to walk you through exactly what's included. Managed IT quotes are almost never apples-to-apples.

Here's what we see regularly in Southern Indiana and the Louisville market:

  • Low base fees that exclude security tools, backup, or after-hours support — services you'll absolutely need
  • Month 1 looks affordable. By month 18, add-ons have doubled your bill.
  • MSPs that avoid proactive work because every hour they spend costs them money under a flat-rate model
  • No accountability when something goes wrong — just finger-pointing at your hardware, your vendor, or your staff

In my years auditing and inheriting clients from other MSPs, I've seen the same story over and over: a business signs with the cheapest option, skips the security they were told they didn't "really need," and ends up calling us after an incident. The recovery always costs more than the prevention would have.
